The deliverable that defines the studio. How we charge

Fixed-fee, milestone-billed, USD default. Smaller pilots run on a 50/50 deposit-and-final split; larger engagements on a 30/30/30/10 split across the four phases. No hourly billing. Care Plan, when bought, is a separately-documented monthly retainer.

Care Plan

A monthly retainer activates on day 31 after handover — three tiers (Lite, Standard, Growth) covering hosting, knowledge-base maintenance, monthly review, and specialist hours. The product that keeps your AI team alive, measured, and improving.

Every AYCAS Studios case study is referenceable — live links, named outputs, real ship dates. Nothing in the window is stock or filler. We publish a case study only after the client has signed a public release, so our portfolio grows slower than our client list. That's a discipline, not a delay.

How we work

Four phases.
Milestone billed.

Every Build engagement has a fixed scope, a fixed fee, and a milestone payment per phase. No hourly. No drip pricing. Care Plan, when bought, is a separately-documented monthly retainer with its own commitment terms.

Week 1–2

Discovery & Scope

Intake interviews, scope lock, signed agreement, deposit. Free on the first call.

A 90-minute Discovery call — no charge, no obligation — opens every engagement. From there: leadership interviews, current-state mapping, bottleneck audit, sector research, and a baseline of the metrics that matter.

Output: a signed Venture Diagnosis — the canonical record of where the operation stands and what we're committing to move. The Service Agreement and Scope of Work issue from the Diagnosis.

Week 3–6

Foundation

Brand book, entity and licensing where applicable, AI team architecture, ops scaffolding — all built in parallel.

Foundation runs in parallel. The brand strategy locks into a brand book — positioning, voice, visual direction, plus the voice direction the AI team works to. The AI team is designed against the Diagnosis, with a specialist for each function the operation actually runs.

Operating documents come together: service contracts, scope and change-order templates, invoice templates, first-year compliance calendar. Greenfield ventures run entity registration through external legal partners.

Week 7–12

Build

Websites, content kit, launch comms, first procedures, commercial templates. Everything ships against the locked brand book.

Build is when the operation comes alive. Website goes live on a custom domain with email routing and analytics wired in. The AI team is fully scaffolded — knowledge base, procedures, integrations into your day-to-day tools.

Launch comms drafts: founder narrative, first ninety days of social, press kit. Data handling is signed off. Everything ships against the locked brand book; nothing leaves the shop without QA.

Week 13–16+

Launch & Handover

Go-live, leadership training on the AI operating system, 90-day comms calendar delivered, 30-day support window.

Launch is the moment your leadership sits with their AI team for the first time. A 60–90 minute live handover session walks through how to brief, how to approve, how to get back what you need. The Operating Playbook — your manual to working with the team — locks.

Thirty days of monitored operation follow, with check-ins on days 3, 7, 14, 30. On day 31, the Care Plan retainer activates and the team you built keeps running.
